About the Organization:VisionFund Micro Finance Institution (S.C) is an Institution established according to proclamation No. 40/96 to provide financial services to the productive poor in the rural and urban areas of Ethiopia. VisionFund is currently operating in five of the Regional States of the country.VisionFund MFI is currently looking for candidates for Regional HR &amp; Admin Officer role&nbsp;at West Regional Operations Office. The successful candidates will have skills and experience that meet the following requirements:<ol><li>Major Responsibilities</li></ol>HR Activities:<ul><li>Conducts registration of applicants;</li><li>Participates in the process of internal and external recruitment;</li><li>Facilitates pre-employment activities;</li><li>Handles correspondences with employees;</li><li>Requests and reminds employees to fulfill employment formalities as required (i.e. guarantor, contract agreement etc.);</li><li>Updates employee information in hard copy / on data base;</li><li>Processes the authorization of payment of various employee allowances and benefits;</li><li>Controls the employees time attendance sheet;</li><li>Short listing job applicants in the area office &amp; transfer to head office HR office</li><li>Collecting different documents concerning to internal staffs from branch offices &amp; transfer to head office HR office</li></ul>Admin Activities:<ul><li>Open, sort and distribute incoming correspondence</li><li>Assist in resolving any administrative problems</li><li>Run Area office tasks to post office and office supply store</li><li>Answer calls from customers regarding their inquiries</li><li>Prepare and modify documents including correspondence, reports, drafts, memos and emails</li><li>Schedule and coordinate meetings and appointments for Branch managers</li><li>Sort and distribute incoming mail to branches and staff within the area and dispatch outgoing mail.</li><li>Receives incoming letters from internal as well as external clients; dispatches same to the concerned office;</li><li>Manages miscellaneous expenses for the Area manager’s Office through work advance;</li><li>Provide general administrative and clerical support including mailing, scanning, file papers and documents, faxing and copying to Branch managers</li><li>Operate a range of office machines such as photocopiers, computers and faxes</li><li>Collect weekly, monthly, quarterly &amp; yearly reports from branch offices&nbsp;</li><li>prepare and modify reports, documents including correspondence, drafts, memos and emails</li></ul>
