Responsible to handle communications between sponsored children, families and sponsorship unit to meet organizational standards including timeliness, content and quality
· Collect and submit communication items timely such as data, photos, sponsor gift/letter response, welcome greeting communication for processing and dispatching. The data collection could be in hard copy or digital.
· Ensure the delivery of gifts to SC/families against signature and Ensure that SC/family write their own response letters to sponsor if they are able to write
· Ensure the production and 100% review of sponsorship communication items and questionnaires against the expected quality and standards.
· Work with Community leaders and Community Volunteers to facilitate sponsorship production process; and Provide feedback and sponsorship trainings to CVs
· Timely and quality production of sponsorship communication items as per the to-do-list and production schedules produced by the Sponsorship and Communication Department
· Review reasons of cancellations, ensures truthfulness and completeness of information; and timely preparation of new or sibling replacements after cancellation;
· Notify SC/family in case of the SCs cancellation due to request by IH/NOs (unusable)
· Coordinate statutory SC family home visits for physical and wellbeing verification with Community Volunteers and submit visit summary reports to immediate supervisor and respective program staff
· Make physical verification of SC/family to 20% of Sponsored Children for verification of data collected and follow-up purposes.
· Responsible for verification of relocated children and completion of SCCDR (sponsored child communication delay report) form and submit to office.
· Notify death and relocation of Sponsored Children to immediate supervisor in a timely way and as per Plan’s internal guideline.
· Attend to inquiries about sponsored children as requested by immediate supervisor
· Facilitate the production of the regular and corporate sponsorship communications in a given community in collaboration with the assigned team;
· Maintain content and proper arrangement of Sponsored Children files at respective community as per the standard requirement
· Handle other sponsorship related activities as requested by immediate supervisor.
· Ensure the integration of sponsorship and program implementation
· Facilitate, mobilize and support communities and children’s engagement in the planning, implementation, monitoring and evaluation of Plan’s programs and projects at village level
· Plan’s representation at the grassroots/community level by facilitating the implementation of programs and projects; and mobilizing community on Plan’s programs and projects
· Facilitate and establish smooth working relationships between Plan, sponsored children, families, community leadership, government extension staff and other stakeholders at district and village levels
· Community orientation on Safeguarding Children & Young People policy and reporting and responding guidelines
· Take part in beneficiary selection processes, including to facilitating and ensuring the inclusion of children with disabilities, sponsored children, girls/women
· Serve as a point person at community/village level in any partner managed events to maximize Plan’s visibility, including participation in community meetings
· Forward concerns and inquiries from the community to immediate supervisor in relation to development needs and provide feedback to the community.
· Regularly inform Sponsorship and Program Staff at the Program Areas, with regards to any changes, developments, success stories etc.
· Prepare and submit progress reports properly and timely
· Perform other duties as requested by the immediate supervisor
Handle medical cases of sponsored children by notifying & updates sponsorship unit
· Notify medical cases of sponsored children to immediate supervisor
· Update progress on the health conditions of sponsored children receiving treatment.
· Handle sponsor’s pre-visit arrangements of respective sponsored children and families and accompany sponsor’s visit as required.
· Report any unannounced visit to immediate supervisor.

· Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.

Technical expertise, skills and knowledge
QUALIFICATIONS AND EXPERIENCE REQUIREMENTS
Qualifications/ experience essential:
· Technical and Vocational Training School (10 + 3) graduate in Community Development studies, Social work and related with 5 years of experience. Or first degree in the above fields or equivalent with zero year experience.
· Minimum of 2 years extensive experience in development work at grassroots level.
· Experience in emergence/relief programs will be an added advantage.
· Computer literacy in Excel and Word.
· Must hold a valid motorcycle license
