MSF-Holland is looking for:
FLEET AND WORKSHOP MANAGER (M/F)
Elaborate and implement strategies to guarantee the adequacy of means for fleet and motorized equipment management, both in the capital and in the field. In accordance with MSF procedures define, implement and plan servicing activities in order to ensure the smooth running of the garage and the mission’s vehicles and motorized equipment as well as the efficient management of spare parts stock and other associated consumables.
MISSION AND PRINCIPAL ACTIVITIES
Fleet Management:
Supervise maintenance activities: implement procedures to ensure and to monitor the timely maintenance services are executed (A, B or C) and recorded properly in the vehicle logbook.
Supervise and rationalize petrol and fuel consumption (quality and quantity)
Ensures a pro-active planning and follow-up of project and coordination fleet maintenance and services in order to ensure efficient use of vehicles in the project, avoiding gaps and shortages of vehicles.
Implement and follow-up specific procedures to ensure and to monitor that all vehicles and other motorized equipment (generators, pumps, etc.) are equipped with the necessary documentation (registration, insurance, inspection reports ...), first aid kit, ..., and that the drivers respect inspection procedures and log book requirements ( service A,B,C).
Carry out technical evaluations of all the hired vehicles, engines and transport companies.
Managing the vehicle tracking devices.
Workshop Management
Draw up, in collaboration with the Logistics manager (tech) and according to the size and state of the fleet, an annual order for spare parts.
Identify potential local providers (for spare parts, fuel and lubricants) in order to efficiently ensure maintenance activities of the fleet and motorized equipment.
Together with the supply manager organize the storage of spare parts, both in the capital and field, as well as supply processes, in order to ensure a quick lead time.
Approve the repair works carried out by mechanics and participate physically in the repairs of vehicles, generators and other motorized equipment.
Follow-up the spare parts consumption and rationalization were possible.
Responsible for the daily follow-up of the workshop: planning the usage of the workshop, follow-up of the usage of tools.
Ensure safe working conditions
Supervise any repair or maintenance work performed outside the MSF workshop in order to ensure the appropriate standards and price.
Manage the intersectional use of the workshop according to the terms and conditions of the intersectional workshop agreement. Schedule and monitor services and repairs on vehicles from other sections.
HR Management.
Train all drivers to ensure they adhere to all MSF driving rules and regulations, take good care of their vehicles, prevent damage, perform routine maintenance activities, drive safely, and fill in the vehicle logbook with all relevant information.
Participate in the recruitment process of field mechanics and drivers.
Supervise, motivate and train the mechanic team
Other
Elaborate/review the annual budget for the garage, the costs of vehicles, maintenance, consumption of fuel and other consumable items in order to prioritize operational needs and objectives
Contributes to the monthly reports according to guidelines, i.e. Situation Reports (SitReps), logistical statistical reports, etc.
Responsible for the communication equipment in the car
Provide constant support to the projects, in assisting them in the above and with regular visits and a pro-active communication on planning and maintenance requests.
Job Requirement
Required education, experience and skills for the position:
Essential, Diploma in Auto mechanics with a minimum of 6 years experience in Auto Mechanics and minimum 2 year experience in the management of a workshop and Fleet.
Able to work in multiple technical disciplines
Essential, driving license and experience as a driver
Good working knowledge of English
Ability to organize and prioritize workload independently, using initiative when appropriate
Good communication skills
Able to work with computer (Outlook, Word, excel) and able to write reports.
Pleasant and polite attitude at all times; ability to reflect the professional standards of MSF-H
Ability to act as part of multi-cultural and multi-disciplinary team
Flexible to travel to the project locations in order to support them.
Place of work: Addis Ababa, MSF-Holland Coordination Office, with regular travel to the field Terms of employment: One year contract with a possibility of extension
