Re-advertised Position Announcement Store Keeper ETHIOPIAN AGRICULTURAL TRANSFORMATION AGENCY
The Agricultural Transformation Agency (ATA) in Addis Ababa, Ethiopia is seeking a qualified candidate to serve as a Store Keeper.
BACKGROUND: The Ethiopian Agricultural Transformation Agency (the Agency or ATA) is an initiative of the Government of Ethiopia (GOE) which was established by federal regulation in January 2011. The primary aim of the Agency is to promote agricultural sector transformation by enhancing and supporting existing structures of government, private-sector and other non-governmental partners to address systemic bottlenecks in the system and deliver on a priority national agenda to achieve growth and food security.
The ATA focuses on a set of high priority program areas. These program areas are sub-divided into Systems, Value Chains, and Initiatives. Across these, the ATA engages public, private and non-governmental stakeholders to support strategic planning, manage and strengthen implementation capacity, and test innovative models. Its structure and function is focused on nimble, innovative and results-oriented support to a range of partners in the agricultural sector. It is financed by GOE and a range of development partners.
POSITION SUMMARY:
Under the direct supervision of the Logistics Manager, the Store keeper and property administration assistant is responsible to manage the ATA store;
Track, analyze and take action to improve store performance by forecasting of weekly/daily consumption.
Forecast, schedule, and monitor labor to be consistent with store activities and inventory budgets and consumption schedules; create action plan to address cost control issues.
Manage issues relating to store maintenance, cleanliness, safety and sanitation, oversee and monitor handling of receiving and issuing of materials.
Ensure compliance with legal requirements and organization policies and procedures.
Conduct the quarterly physical count of the stocks and work to ensure the minimum discrepancy.
Conduct annual inventory of fixed and non-fixed assets and report discrepancies if any.
Job Requirement
ESSENTIAL DUTIES:
Understand, implement and / or maintain standard inventory management policies and procedures.
Manage all warehouse related documents in professional manner …. The receipt, handling, storage, release and reporting of goods through the ATA warehouse(s).
Plays advisory role on potential inventory shortage.
Ensure the maintenance of warehouse building(s), fittings and equipment.
Implement and ensure clear safety procedures.
Implement and ensure clear loading / unloading procedures, correct stacking and turnover (FIFO) procedures.
Advise the property Administration Officer and/or logistic manager about warehouse-specific issues or improvements
Maintain the warehouse activity book recording all outgoing and incoming receipts and activities.
Controls the overall operation of the storehouses and inventory
Monitor security of ATA’s storage and supplies; issue goods based on complete and approved store request form.
Ensure proper issuance of goods, equipment on the store request form (office expendables) or waybill (all other items).
Prepare a monthly report for the expendables store outlining all stock movements and remaining balances.
Update the stock record cards and bin cards regularly.
Conduct routine inventory inspection and submit report to property – Administration Officer on timely manner.
Expected Deliverables:
Maintain full and accurate inventory records.
Undertake (documented) monthly and ad-hoc physical inventory checks. Undertake annual inventory of fixed and non-fixed assets of the organization
Maintain up to date stock cards and bin cards record
Provide, standard monthly, quarterly and annual reports to the property Administration Officer
Act on behalf of the Property Administration Officer on his/her absence
REQUIRED QUALIFICATIONS:
BA in Materials Management, Business Management/Management, Accounting, Purchasing and Supplies management or related fields of study
Minimum of 2 years of experience in the field
Knowledge of supply chain operations, generic warehouse management systems and forms.
Competent use of PC especially spreadsheets (format / sort / filter) Proven skills in Procurement and Warehouse operations and arithmetical skills Excellent English communication skills
INGO experience is advantageous
Sound knowledge and working experience of inventory management system.
Ability to work under pressure, exhibit patience and tolerance
Ability to enforce adherence to organization policies.
