HST Consulting is looking for energetic and committed Female Executive Personal Assistant for one of its esteemed corporate clients engaged in a diversified business.
Key Duties and Responsibilities:
The Executive Assistant is expected to provide full administrative support to the Chairman and manage the Chairman’s office including but not limited to:
Manage, coordinate and maintain calendar of Chairman including appointments, meetings and travels.
Organize Chairman travel and logistics including flights, visa requirements, hotel accommodation, car rental as required.
Monitor and respond to incoming communications to Chairman’s office including phone calls, e-mails and walk ins.
Prioritize and follow up issues and concerns addressed to the Chairman; recommend appropriate course of action, referral, or response.
Provide secretarial support for all meetings as and when required by the Chairman, including drafting and circulating meeting agendas, preparing minutes, collating reports and presentations, communicating meeting reminders, confirming venues and arranging refreshments.
Communicate directly, on behalf of the Chairman with the CEO, with Board members, outside business partners on matters related to Chairman's scheduled core activities; disseminate reports to the CEO and board members.
Serve as a bridge for smooth communication between the Chairman’s Office and the CEO's office and the Board of Directors; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Drafting and writing high quality reports and presentations as required by the Chairman.
Manage the office environment and oversee general maintenance of the office with the support of the Office Assistant.
Carry out performance appraisals of direct reports and arrange/ or make recommendations for professional development if required.
Job Requirement
Qualification and Experience:
Minimum of BA degree in Business Administration, Management, Marketing, Finance or related field with minimum of five (5) years of relevant experience. Manufacturing industry experience is an advantage.
