BBC Media Action uses media and communications to reduce poverty and promote human rights in developing countries. To achieve this, the BBC Media Action partners with civil society, local media and governments to:

BBC Media Action delivers a portfolio of media projects in Ethiopia. It seeks to expand this portfolio of work, but also ensure that existing projects are delivered to time, to budget and to the highest standards, and in accordance with BBC editorial values as well as Media Action methodologies.
Overall Purpose of Job
Reporting to the Country Director, the Logistic and IT Officer is responsible for oversight, maintenance, and strategic use of BBC Media Action physical assets and properties. This includes all logistics, repairs, and other upkeep related to office premises (including management of utilities and IT infrastructure), vehicles, generator, and other equipment. It also includes supporting the Country Director to make decisions about, allocation, and management of properties and assets.
Main Duties
Assets and Property Management
1. Keep or maintain an up-to-date fixed asset register for all valuable properties
2. Confirm that all BBC fixed assets have insurance coverage, lists are updated periodically and communicated to the insurer, all insurance related documents filed properly, claims filed and settled accordingly, and the insurance contract renewed on time.
3. Monitor the identification of leases/properties for expatriate staff and negotiating terms.
4. Timely work on the accessibilities and availability of utilities, completion of office maintenance, delivery of staff supports and other queries
5. Oversee the provision of adequate services for office and other rental and maintenance.
ICT Infrastructures
1. Liaise with the Information Systems and relevant offices in BBC Media Action London and seek advice on different IT related issues when required.
2. Serve as a focal person for all local and HQ queries relating to IT.
3. Support the procurement of IT equipment (e.g. printers and computers), drawing up specifications for quotes, researching and obtaining quotes, and assisting in the procurement analysis exercise.
4. Lead on ensuring each work station is effectively connected and functioning according to the IT needs BBCMA staffs.
5. Maintain all computers and equipment that could be maintained internally. Liaise with external suppliers for computers that require external maintenance.
6. Supervise the installation of all computer software and hardware.
7. Administrator the Local Area Network.
8. Maintain and administer shared drives.
9. Follow up the proper use of fixed phone lines, provision of mobiles for expats and visitors, airtimes or monthly allowances for SMT members and business versus private uses.
10. Administer and monitor the MS Outlook software, including staff address creation, common address creation, terminated staffs address denial or deletion, service quality and functionality status.
11. Maintain data and software backups regularly.
12. Ensure confidential data are filed in a much secured manner with limited and authorized access only as well as design and apply appropriate mechanisms for protecting organizational data from unauthorized users or harmful persons.
13. Maintain and ensure the proper application of copyrights for software and all BBCMA staffs compliances
Logistics and Transport Management
1. Allocation of transport resources (taxi or office cars) for trips in Addis Ababa
2. The vehicles rental process for field trips.
3. Ensure the proper identification and creation of lasting work relationships with taxi and other vehicle suppliers.
4. Process payments for services
Safety and Security
1. Manage relationships with appropriate sources of security information and advice, including the High Risk team in London and UNDSS in Ethiopia.
2. Oversee implementation of risk assessment practices for all office travel
3. Keep safety equipment updated and in good working order
4. Ensure that complete and accurate safety and security data are gathered, analyzed communicated and used efficiently and effectively.
5. Advise SMT on key security decisions, as needed.
Employment Type: 3 months contract (Probation Period) with possibility of extension up to a year
Job Requirement
Required skills, knowledge and experience:
Strong experience of managing properties or assets in Ethiopian office environment, with at least 3 years’ experience in a similar role.
Experience establishing and maintaining IT services and systems for an Ethiopian office environment.
Proven management skills and the ability to operate effectively with middle management teams.
Proven experience in procurement-related functions, with evidence of overseeing procurement processes in transparent and efficient ways.
Fluency in English and Amharic.
Relevant higher education (at least B.A Degree holder) preferably in IT, business management, Management and Public Relation, or other relevant educational background.
High level computer and internet skills.
Some experience of media work highly desirable.
Excellent interpersonal, communication and influencing skills.
